What messages are uploaded to your CRM

SyncIn only logs messages from people who are already contacts in your HubSpot. Your personal conversations stay private.

The matching principle

When a new WhatsApp or LinkedIn message comes in, SyncIn checks whether the sender or recipient already exists as a contact in your HubSpot account. It does this by looking for a match based on:

  • Phone number — for WhatsApp messages, SyncIn compares the phone number against the phone and mobile number fields on your HubSpot contacts.
  • LinkedIn profile — for LinkedIn messages, SyncIn compares the sender's LinkedIn profile against the LinkedIn URL field on your HubSpot contacts.

If there is no matching contact in HubSpot, the message is simply ignored. It is not logged, not stored, and not uploaded anywhere.

Examples

A client messages you on WhatsApp

Their phone number is saved in your HubSpot contacts. SyncIn finds the match and logs the conversation as an engagement under that contact.

A lead replies on LinkedIn

Their LinkedIn profile URL matches a contact in HubSpot. SyncIn logs the message under their contact record.

A friend messages you on WhatsApp

Their phone number is not in your HubSpot contacts. SyncIn skips the message entirely — nothing is logged.

A recruiter reaches out on LinkedIn

They don't exist as a contact in your HubSpot. The message is ignored completely.

Your privacy is protected

SyncIn is designed for business conversations, not personal ones. The matching system ensures that only messages involving your existing CRM contacts are ever processed. Here's what that means in practice:

  • Messages with family, friends, and anyone outside your CRM are never logged
  • Group chats are not synced — only direct conversations
  • You control which contacts exist in HubSpot, so you control what gets synced
  • No message content is stored by SyncIn — messages are passed directly to your HubSpot account

In short

If someone isn't in your HubSpot, SyncIn doesn't touch the conversation. Only messages with known CRM contacts are logged — everything else is completely ignored.
